Terms of Service, Privacy Policy, and Disclaimers

This Privacy Policy explains what personal information we collect through our contact and eligibility forms, why we collect it, how we use it, and the choices you have.

Part A: Terms of Service

1) Parties and scope

These Terms of Service apply to your use of our website, forms, messaging channels, and any admissions support services provided by Beijing Explore the Unknown Co. Ltd. under the program name Study in China.

By submitting a lead form, eligibility form, signing a service agreement if provided, or making any payment, you confirm that you have read and accepted:

  • Document 1: Service Policy
  • Document 2: Pricing and Packages
  • This Document 3: Terms and Privacy

If you do not agree, do not submit information and do not proceed with payment.

2) Acceptance method and version control

Acceptance is provided by:

  • ticking the consent checkbox on our website forms, or
  • submitting a Google Ads lead form that includes consent language, or
  • making any payment, or
  • replying with explicit written acceptance in our official WhatsApp or email channel.

We store the accepted document version and timestamp for record keeping. The version accepted at the time of consent governs your case, unless you later accept an updated version.

3) Definitions

  • Service Policy: Document 1 describing service workflow, scope, and boundaries.
  • Pricing and Packages: Document 2 describing the service menu, package inclusions, payments, refunds, credits, and promotions.
  • Services: Admissions support services, including matching, document guidance, application submission support, tracking, scholarship application support where applicable, and visa preparation guidance.
  • Third parties: Universities, scholarship bodies, government agencies, embassies, visa centers, airlines, hotels, couriers, employers, and other external providers.
  • Notice: Any communication sent by us to the contact details you provided.

4) Our role and limitations

We are not a university, scholarship awarding body, embassy, visa issuing authority, or employer.

We provide guidance and operational support within the scope of your selected package and the service menu in Document 2. Admission decisions, scholarship awards, visa issuance, internship outcomes, and processing timelines are determined by third parties.

5) No guarantees

We do not guarantee:

  • admission results
  • scholarship awards
  • visa approval
  • internship placement outcomes
  • processing times
  • specific universities, cities, scholarships, or intake availability

We provide preparation, guidance, and workflow management to support your application process.

6) Student responsibilities

You agree to:

  • provide accurate, complete, and truthful information
  • submit authentic documents and avoid altered or fraudulent materials
  • respond within reasonable timeframes to requests related to your case
  • attend interviews or tests if required by a university
  • inform us if you also apply independently to avoid duplicate submissions or conflicts

If information is inaccurate or documents are not authentic, we may pause or terminate Services. Refund and credit rules are governed by Document 2.

7) Communications and consent

By providing contact details, you consent to being contacted by us via WhatsApp, phone, email, or other channels you provide, for the purpose of responding to your request and delivering Services.

Marketing opt out: You may opt out of promotional messages at any time by replying STOP or messaging us. If you are an active client, we may still contact you for essential service updates related to your case.

8) Notices and delivery

We may send notices via email, WhatsApp, or your chosen contact method. A notice is considered delivered when sent to the last contact details you provided.

9) Payments, refunds, credits, and promotions

Payments, refund rules, credits, and promotional discounts are governed by Document 2. Document 2 is incorporated by reference into these Terms.

If there is any conflict between Document 2 and this document regarding payments, refunds, credits, or promotions, Document 2 governs.

Package prices may include bundled discounts, and refund calculations and work valuation follow the service menu rates and rules defined in Document 2.

10) Third party fees, rules, and changes

Universities, embassies, and other third parties may change rules, fees, deadlines, quotas, document requirements, interview steps, and procedures at any time. We are not responsible for such changes.

Where third party changes impact your case, we will provide updated guidance when reasonably possible, but outcomes and timelines remain under third party control.

11) Visa guidance and no legal advice

Visa guidance is informational and checklist based. We do not provide legal advice. You remain responsible for submitting truthful information and complying with embassy or consulate requirements.

12) VIP benefits and availability

VIP benefits such as flight support, hotel, transfers, tours, and internship placement support depend on third party availability and policies. We do not guarantee ticket availability, pricing, hotel availability, tour scheduling, or internship outcomes.

Where caps apply to VIP benefits, those caps are defined in Document 2 and apply to your case.

13) Chargebacks and payment disputes

If a payment is disputed, reversed, or charged back through a bank or payment provider, we may pause Services until the dispute is resolved. Completed work remains payable under Document 2.

14) Force majeure

We are not liable for delays or failures caused by events beyond our reasonable control, including policy changes, embassy closures, system outages, natural disasters, strikes, war, epidemics, or transportation disruptions.

15) Limitation of liability

To the maximum extent permitted by law:

  • We are not liable for indirect, incidental, special, consequential, or punitive damages.
  • We are not liable for third party decisions, actions, or delays.
  • Our total liability related to the Services is limited to the amount of service fees you paid to us for the specific package or service giving rise to the claim.

16) Complaints and dispute process

If you have a complaint, you must contact us in writing at studyinchina@beijingexploreunknown.com and provide details.

We will respond within 10 business days. If the issue is not resolved, both parties agree to attempt good faith negotiation before filing any legal claim.

17) Suspension and termination

We may suspend or terminate Services if:

  • you provide fraudulent documents or false information
  • you repeatedly fail to respond and do not engage after at least two reminders
  • you harass or abuse staff
  • you breach these Terms or Document 1 or Document 2

You may stop using our Services at any time. Refunds, if any, are governed by Document 2.

18) Intellectual property

All website content, checklists, templates, and materials created by us are our intellectual property or licensed to us.

You may use them for your personal application process only. You may not resell, publish, or distribute them commercially without written permission.

19) Assignment and subcontracting

We may assign or subcontract parts of the Services to qualified providers to deliver services efficiently. You may not transfer your rights or obligations under these Terms without our written consent.

20) Entire agreement

Document 1, Document 2, and this Document 3 form the entire agreement between you and us regarding the Services, unless a written service agreement signed by both parties states otherwise.

21) Severability

If any provision of these Terms is held invalid or unenforceable, the remaining provisions will remain in full force and effect.

22) Language versions

If we provide these Terms in multiple languages, the English version applies in case of inconsistency, unless mandatory local laws require otherwise.

23) Governing law and jurisdiction

These Terms are governed by the laws of the People’s Republic of China.

Any dispute arising from these Terms shall be submitted to the competent People’s Court at the place where Beijing Explore the Unknown is registered in Beijing, People’s Republic of China, unless mandatory consumer protection laws require otherwise.

24) Changes to these Terms

We may update these Terms. The latest version will be posted with a revised effective date and version number.

Part B: Privacy Policy

1) What we collect

We only collect information that you submit to us through forms or messages, typically:

  • name, phone number, email if provided
  • citizenship and country of residence
  • education level and academic profile
  • program interest and intake timeline
  • language level and test status
  • budget range and scholarship interest
  • passport validity status
  • any notes you write in the form

If you later choose to provide documents such as passport copies, medical check documents, police clearance, bank statements, transcripts, or certificates, we will process them only for your case.

2) Why we collect it

We collect your information for two purposes only:

  1. to contact you back and communicate about your request
  2. to assess eligibility and recommend suitable programs in China

3) How we use it

We use your information to:

  • respond to inquiries and schedule consultations
  • create a shortlist and checklist for your case
  • support your application workflow if you proceed
  • maintain internal case notes to reduce errors and improve accuracy

We do not sell your personal data.

4) Sharing of data

We do not share your personal data with universities or third parties unless:

  • you request us to proceed with an application and it is necessary to submit your case, or
  • we are required by law

When sharing is necessary, we share only what is required for that specific submission.

5) Service providers

We may use service providers for website hosting, form handling, email, analytics, and messaging systems. They may process limited data only to provide their services to us.

6) Cross border processing

Your data may be stored or processed in China and other countries where our systems or service providers operate. We take reasonable steps to protect your data in transit and storage and to limit access to authorized staff.

7) Retention

We keep your information only as long as necessary to contact you and deliver Services.

Default retention period: 12 to 24 months after the last meaningful contact, then deletion or anonymization, unless a longer period is required by law or necessary for dispute handling.

8) Security

We take reasonable measures to protect your information with access controls and secure storage. No system is completely secure, but we aim to reduce risk and restrict access to authorized staff only.

9) Your rights

Depending on your local law, you may request:

  • access to your information
  • correction of inaccurate information
  • deletion of your information
  • withdrawal of consent

10) Children and minors

If you are under 18, a parent or legal guardian should submit the form and participate in communications.

11) Cookies and tracking

We may use cookies and tracking pixels to measure marketing performance and improve the website. You can adjust your browser settings to limit cookies.

If required by local law, we will display a cookie notice and obtain consent where appropriate.

12) Changes to this Privacy Policy

We may update this Privacy Policy. The latest version will be posted with a revised effective date and version number.
